EXHIBITOR RULES, REGULATIONS & FAQs

CanGift rules and regulations are designed to ensure the safety, well-being and fairness of our exhibitors and stakeholders.

Please note management reserves the right to restrict exhibits that interfere with the effective conduct of business during this bi-annual trade forum and to close — without indemnity — the exhibit of any exhibitor who shall refuse — after notice — to conform to the rules and regulations of the Toronto Gift + Home Market.

The Toronto Gift + Home Market rules and regulations have been established for the overall betterment of the market and the Canadian Gift Association shall be in control in the interpretation, amendment and enforcement of any/all conditions, rules and regulations.

Show management has final authority to make any decisions with respect to the Toronto Gift + Home Market.


GETTING STARTED

Registration

All confirmed exhibitors will receive an email from our registration system to register their onsite booth staff. Once registered, print-at-home badges will be emailed to you. Please bring your printed badge to the show.

It is required that all people have show badges for entrance onto the show floor. Exhibitors are required to wear their badges at all times including move-in/move-out. All personnel/outside contractors who will be setting up and/or tearing down the booth that do not receive a badge in advance, may obtain one from a security guard upon entrance to the market. Personal identification (i.e. Driver’s licence) must be valid.

Admission Policies – Entry into the Market

Show management reserves the right to refuse admission to any visitor, exhibitor or exhibitor’s employee who — in its opinion — is disruptive, unfit, intoxicated, or otherwise deemed unfit to enter the market. Only exhibitors with appropriate badges are permitted to enter the building during move-in and move-out hours.

The public is not invited to the market and retail sales are strictly prohibited. No guests are allowed to protect the best interests of both buyers and exhibitors.

When you invite buyers (verbally or in writing), be sure to mention that retail business identification along with employee identification for each individual will be required for registration. Business cards alone are not acceptable. To view the list of required documentation, please visit the Buyer Registration page.

Admission Policies – Children & Pets

No one under the age of 16 is permitted on the show floor. Special accommodations are made for babies under one year of age with a release and indemnification acknowledgement available at registrations. Infants must be carried in a baby carrier or sling. Strollers are not permitted.

Family washrooms are available for nursing mothers. Daycare is not available at the Toronto Gift + Home Market. 

Pets are not allowed. However, this does not apply to guide dogs or service animals.

Hotel & Bus Shuttles

A free shuttle bus service runs between official hotels and the Toronto Gift + Home Market at the beginning and end of each show day. Please note, it does not operate during the day.

No guests allowed

IMPORTANT: Guests are not permitted on the show floor without a valid show badge. The CanGift Market is a wholesale event and is not open to the public. Restricting access to qualified buyers protects the interests of both exhibitors and attendees.

Exhibitors are asked to invite only qualified buyers. Guests or individuals not directly related to the gift trade will be denied entry if they do not have a show badge.

EXHIBITOR INFORMATION

How to become an exhibitor?

All exhibitors at the Toronto Gift + Home Market must be Gold Members in good standing with the Canadian Gift Association. 

New exhibitors will be allocated space in their appropriate product category at the Toronto Congress Centre. Booth space is sold in 10′ × 10′ (100-square-foot) increments, and our Show Team will be happy to speak with you directly to discuss your needs. You can reach us at exhibitor@cangift.org

Exhibit Booth Cost

Exhibit space is sold in 10’x10’ (100 square foot) increments. Corner booths are subject to a premium charge per corner.

2027 – Toronto Spring:

  • 100-499 sf $20.00 per square foot
  • 500-999 sf $19.75 per square foot 
  • 1000-2999 sf $19.50 per square foot
  • 3000+ sf $19.25 per square foot
  • $200 per corner

Waht is included in my exhibit booth?

Your booth includes the designated space. While booth structure or pipe and drape is not included, a variety of rental options are available to customize your space, including hard wall construction, Velcro panels, and steel poles or sliders. Rental drape, as well as furnishings and accessories such as carpet, tables, and chairs, are also available. For full details, please refer to the Exhibitor Manual.

Yes, you are allowed to bring your own booth! Exhibitors are reminded that they may install their own exhibits using the services of their regular employees. If they do not use their own employees, the use of the Official Show Service Contractor is recommended. All display materials, including prefabricated booths, must be pre-fitted and ready for installation prior to shipment to the building. If an exhibitor requires additional assistance in the movement and installation of their display, they should contact and use the services of a professional display company.

Exhibitor Insurance

Our exhibit contract requires minimum insurance coverage of $2,000,000 to cover any possible theft, damage or liability in case of any damage or injury caused while at the market. Show management will ensure all official contractors have the appropriate insurance. Each exhibitor should be adequately covered and protected for any unforeseen circumstances.

Exhibitors, who use independent contractors to deliver, install and/or dismantle their booth, must ensure these contractors have insurance coverage of $2,000,000 listing Canadian Gift Association as a co-insured.

Neither Show Management, the Canadian Gift Association, the owners & management of the Toronto Congress Centre, nor any of their officially appointed contractors/suppliers and/or their employees and/or agents will be held accountable for or liable for such losses, and/or damages, loss, harm or injury to a person(s) or any property of exhibitor(s), or other person(s), however caused, or any of its officers, agents, employees or representatives, nor for goods sent to the Toronto Congress Centre, before, during the market or remaining after the market.

Cancellation

Exhibitors who are unable to participate are responsible for notifying show management immediately in writing at exhibitor@cangift.org
All payments are non-refundable. If you plan to exhibit at future markets, please let our Sales Support team know, we’ll be happy to connect with you for the next show.

The agreement may be terminated by the Exhibitor only in writing to CanGift. If such notice in writing is received, the following shall apply:

  • If notice is received 31-90 days prior to the first day of moving into the Market, all monies paid over and above the non-refundable deposit received, will be held as credit for use at a future CanGift Market within 12 months or refund options will be dealt with on a case by case basis;
  • If notice is received by the Exhibitor 30 days or less prior to the first day of moving into the Market, no monies paid to date will be refunded or deferred;
  • If the final booth payment is due but has not been received by CanGift, the Exhibitor will be deemed to have terminated the Agreement and no monies paid to date will be refunded.

 
Termination of the Agreement shall disentitle the Exhibitor to any rights or claims against the booth space, the Market or CanGift and all monies retained are hereby agreed by the parties to be a fair and reasonable estimate of the damages incurred by CanGift for administrative and other related costs arising out of the termination. The Agreement may be terminated forthwith and without prior notice by the Market at any time on the breach of any of the terms and conditions hereof by the Exhibitor, and thereupon all rights of the Exhibitor hereunder shall cease and terminate. CanGift may thereupon sell or otherwise deal with the space as it deems necessary.

Taling Retailers off the Show is NOT permitted

The CanGift board has approved a motion formalizing the policy prohibiting exhibitors from taking retail buyers off the show floor to visit exhibitors’ off-site showrooms during market hours.

Where a member is found to have taken retail buyers away from the trade show sites during market hours, their status as a “member in good standing” may be terminated or suspended for up to 12 months, upon review by the Board of Directors (as outlined in the association bylaws). Such a termination or suspension would prevent a member from exhibiting at future markets.

Request for Additional/Relocation of Booth Space

A request for additional/relocation of space must be sent to show management in writing. These requests will be kept on file and when more space is available (in conjunction with the development of loosely-grouped exhibitor categories) and will be awarded based on CanGift membership seniority. Exhibitors must commit to additional space relocation offers within 24 hours.

Assignment and Subletting of Booth Space

Exhibit space is not assignable or transferable. Documentation of company name changes, amalgamation or purchase of member companies, must be submitted to and reviewed by the Canadian Gift Association for approval no later than four weeks before the show.

Exhibitors are strictly prohibited from subletting all or part of their booth space. Violation of this policy will result in immediate loss of booth space.

Contests and Draws

Draws conducted by exhibitors in conjunction with their display must be free of any obligation on the part of the winner. Prize winners must not be required to place an order before collecting the prize offered. The schedule of prizes and terms of the draw must be clearly stated on the entry form and must comply with all existing Regulations. Show Management must be notified of all such activities at least four weeks before the market.

Show Office

Show Management will maintain a fully staffed office at the Toronto Congress Centre beginning the Monday of move-in for the Spring shows and Friday before the Civic holiday for the Fall shows and throughout the entire market including move-out. RULES AND CONDUCT AT THE MARKET

Checking for Damage

When booths are removed, building representatives and show management inspect each space for any damages and to ensure all materials, including tape adhered to the floor, are properly removed. Charges will be levied to any exhibitor who has caused damage or has not removed all materials following this regulation.

Copyrighted Material

Each exhibitor is responsible for obtaining all necessary licences and permits to use music, photographs or other copyrighted material in their booth or display. Show management reserves the right to remove any part of a booth or display from the exhibit hall that incorporates music, photographs or other copyrighted material and for which the exhibitor fails to produce proof they hold all required licences.

The exhibitor shall remain liable for and shall indemnify and hold show management and the facility, their agents and employees, harmless from all loss, cost, claims, causes of action, suits, damages, liability, expenses and costs, including reasonable attorney’s fees, arising from or out of any violation or infringement (or claim violation or infringement) by the exhibitor, exhibitor’s agents or employees of any patent, copyright or trade secret rights or privileges.

First Aid and Emergencies

First Aid Personnel will be on-site during move-in, show hours and move-out. There will be a dedicated First Aid room at the Toronto Congress Centre. See onsite Show Office for any questions.

Promotion / Photographs

Promotion: Distribution of samples or promotional material and soliciting of business must be confined to an exhibitor’s own booth space. Such activities are not permitted in the aisles, restaurants, registration areas, hallways, other exhibits, washrooms or parking lots. Only participating exhibitors have the right to promote goods and services in the market. All other parties who attempt to solicit sales without the written permission from Show Management will be permanently removed from the Market area. Exhibitors are asked to report any infractions to the Show Office so that immediate action can be taken.

Photographs: Unauthorized photography or video recording of exhibitor booths and/or products is prohibited on the show floor without first obtaining permission from the exhibitor. Exhibitors who wish to take photographs of their own booth or products must wear a badge with the company name corresponding to the booth/products being photographed. Violators may be asked to delete any images by the exhibitor or show security.

Booths must be ready and staffed for Show opening and at all times during Show hours.

Product Removal / Sales

Merchandise may be removed by the exhibitor only at the end of each market day (with the exception of the last day) and must be accompanied by a Product Release Form, which can be obtained from the Show Office. On the last day of the market no product can be removed before market closing. Buyers will not be permitted to return to the show floor once the market closes at 12noon on the last day. There will be no exceptions.

THE SALE OF GOODS FROM THE MARKET FLOOR IS STRICTLY PROHIBITED AT ALL TIMES AND CAN RESULT IN LOSS OF AN EXHIBITOR’S BOOTH SPACE.

Safety and Security
  1. Appropriate footwear (safety shoes) must be worn in work areas and loading dock areas at all times. This rule will be strictly enforced of your Rules and Regulations for the Health and Safety policy.
  2. Exhibitors should not leave their booth unattended at any time during this period to deter theft during the dismantling process.
  3. Exhibitors who do not plan to move out on the last day of the show are advised to hire a security guard from 12noon on the last day until 8 a.m. the following day as an added precaution against theft.
  4. No tipping of any facility employee or show contractor is required or allowed. Immediately report to show management any discourtesies or attempts to imply that service will be faster through tipping.
  5. For safety reasons, the consumption of alcoholic beverages on the show floor is strictly prohibited. Alcoholic beverages may only be consumed in the designated lounge areas.

The Toronto Gift + Home Market, its management, and the building owners/management, however, cannot assume any responsibility for losses incurred from pilferage or any other causes.

IMPORTANT REMINDER: No product or exhibit material will be permitted through the glass entrance doors.

Care of Building – Walls, Ceilings, Floor

Exhibitors are responsible for and agree to make good any damage to the building or Show equipment caused by their occupation of the space.

Painting, adhesive, or other coatings as well as nailing or drilling of floors, walls, ceilings, or any part of the building is not permitted. Decorations or coverings for display fixtures and all fabrics or other material used for decoration or covering of tables and/or risers must be flame proof. Exhibitors wishing to lay any floor covering must use an adhesive that will not damage the show floor and is easily removed. It is the exhibitor’s responsibility to remove their own carpet tape before leaving the facility. No signs or other articles are to be fastened to ceilings, walls, pipes, or electrical fixtures. The building regulations state that exhibitors handing out adhesive backed promotional material & using incorrect carpet tape will be charged for removal of this material from any building surface.

IMPORTANT NOTE: The Toronto Congress Centre is an independently owned facility; any damages to the walls, ceilings, & floors (i.e., incorrect floor tape) will be billed directly to the exhibitor.

Helium Tanks / Balloons

Helium tanks are not permitted within the buildings. Exhibitors must receive prior approval from Show Management for the use of helium balloons. Exhibitors will be held responsible for any costs that may result from balloons, which come loose from their booths and need removal from venue ceilings.

Internet

Complimentary Internet is available throughout the Toronto Congress Centre. To have dedicated internet at your booth, please go to the Exhibitor Manual for more details.

Smoke Free Market

The Toronto Congress Centre is considered a public place and a workplace, therefore smoking is prohibited anywhere in the facility at all times. For the health and welfare of all concerned, please abide by this rule. Those contravening the Smoke Free By-Law are subject to a fine of up to $5,000.00 per occurrence.

What else do I need to know?

No one under the age of 16 is permitted on the show floor during the move-in or move-out dates, under any circumstances. During the market, no one under the age of 16 is permitted on the show floor.

Pets are not allowed. However, this does not apply to guide dogs or service animals. Any person with a disability accompanied by a guide dog or service animal will be allowed access.

The Ministry of Labour considers the market as a construction site during the move-in/out process. It is mandatory you ensure all your staff and those you contract to move you in and out of the show wear appropriate safety shoes.

Your company must carry sufficient insurance to cover any damages, losses and injury as stated in the exhibitor’s kit and within your signed booth contract. The Canadian Gift Association and the Toronto Gift + Home Market will not be held responsible for any damages, losses, or injury under any circumstances.
